Parts of a Letter (पत्र के भाग)
वैसे तो किसी भी प्रकार के पत्र के अपने विशिष्ट गुण होते हैं, किन्तु सभी प्रकार के पत्रों में निम्नलिखित चार भाग अवश्य होते हैं—
1. Heading, 2. Salutation or Greetings, 3. Body of the letter ‘और 4. Ending.
1. The Heading (शीर्षक) : इसके अन्तर्गत पत्र लिखने वाले का ‘Address’ और पत्र लिखने का दिनांक लिखा जाता है। यह सबसे ऊपर दाईं ओर लिखा जाता है। किन्तु Central Board of Secondary Education (CBSE) द्वारा प्रकाशित पुस्तकों के अनुसार पत्र लिखने वाले का पता कागज के बाएँ कोने पर और तिथि अथवा दिनांक उसके नीचे लिखी जाती है। जैसे-

2. Salutation ( अभिवादन) — Salutation ( अभिवादन) का रूप पत्र भेजने वाले तथा पत्र प्राप्त करने वाले के सम्बन्ध या आत्मीयता (intimacy) पर निर्भर करता है। यह बाएँ किनारे थोड़ा नीचे लिखा जाता है। भिन्न-भिन्न प्रकार के पत्रों में यह भिन्न-भिन्न प्रकार से लिखा जाता है।
भाई-बहन, cousins जो blood-relations हैं, और अन्तरंग मित्रों के बीच अभिवादन का रूप निम्नलिखित प्रकार का होता हैPersonal Letters में :
(i) To Relatives ( सम्बन्धियों को ) – My dear father, My dear Mother, Dear Uncle, Dear Auntie/ Aunt.
(ii) To Friends ( मित्रों को ) – My dear Archit, Dear Tina, Dear James, Dear Monika, Dear Sonu etc. Dear Friend . Dear Friend Mohan लिखिए। मित्र को सिर्फ नाम से सम्बोधित कीजिए ।
(iii) To Acquaintances (परिचितों को ) – Dear Mr Ramesh Chandra, Dear Miss Saxena, Dear Mrs K. Paul, Madam, Sir etc.
(iv) To Strangers (अपरिचितों को) — Sir, Madam etc.
(v) To School Masters, Headmasters, Principals : Sir (Not Dear Sir)
3. Body of the letter (पत्र का सन्देश ) – Body of the letter प्रत्येक पत्र का प्राण होता है। यह बाई ओर Salutation के दो space नीचे से शुरू होता है। पत्र का भाव सरल और स्पष्ट होना चाहिए। विषय और भाव के अनुरूप पत्र को उचित paragraphs में बाँटना चाहिए। थोड़े से शब्दों और सरल भाषा में अपनी बात स्पष्ट कर देनी चाहिए। विराम चिह्नों और Grammar के नियमों का ध्यान रखा जाना चाहिए । पत्र का आरम्भ रुचिकर होना चाहिए।
Personal Letters में आत्मीयता व्यक्त करने वाले शब्दों का प्रयोग किया जाता है। यह पत्र प्रायः बातचीत की भाषा में लिखे जाते हैं। पत्र कोई भी हो प्रायः तीन Paragraphs में विभाजित होता है, किन्तु यह विभाजन पत्र के विषय पर निर्भर करता है। Personal Letters में प्रथम Paragraph सामान्य शिष्टाचार के शब्दों से शुरू होता है; जैसे-
I am glad to learn from you……
It gives me pleasure to inform you…..
I am shocked to learn…..
I got your letter yesterday…..
I am in receipt of your letter……
It is long since I have heard from you…….
पत्र का दूसरा paragraph मुख्य विषय से सम्बन्धित होता है। यह Paragraph बड़ा होता है। यदि मुख्य बात या बातें एक Paragraph में नहीं आतीं तो हम उनको अलग-अलग स्थान देकर अलग Paragraph में लिख देते हैं।
अन्तिम Paragraph पहले Paragraph की भाँति छोटा होता है। कभी-कभी यह Paragraph मात्र कुछ शब्दों का होता है। पत्र का अन्त Personal Letters में विनम्र आकांक्षा पर समाप्त होना चाहिए; जैसे-
Please convey my best regards to……
Hoping to hear/meet soon.
Bye now. Write soon.
Official and Business Letters # Salutation तुरन्त पश्चात् प्राय: एक पंक्ति होती है जिसमें मुख्य विषय लिखा जाता है; जैसे-
Subject : Sale of Books. or Subject : About Pension of employees.
इसके बाद Personal Letters की भाँति तीन या अधिक paragraph होते हैं। प्रथम paragraph में पत्र का कारण अथवा सन्दर्भ का उल्लेख किया जाता है, ताकि पत्र प्राप्त करने वाले को यह पता चल सके कि पत्र क्यों लिखा गया है। पत्र का दूसरा Paragraph मुख्य होने के साथ ही थोड़ा बड़ा होता है। अन्तिम पैराग्राफ Personal Letters की भाँति ही काफी छोटा होता है; जैसे-
With best wishes
With kind regards
Thanking you
Hoping to recieve a favourable reply.
Looking forward to……
With warm / Personal regards.
4. The Subscription or Complimentary close (पत्र का अन्त) – पत्र का अन्त सदैव Salutation के अनुसार होना चाहिए। पहले यह पत्र के अन्त में दाहिनी ओर लिखा जाता था, किन्तु Heading साथ-साथ इसे भी आजकल बाईं ओर लिखा जाने लगा है। इसे एक space के बाद लिखा जाना चहिए ।
(i) To close relatives: Yours affectionately, Your affectionate son/daughter/ nephew / brother/sister, Your loving son etc.
(ii) To friends : Yours sincerely, sincerely yours.
(iii) To strangers officials and firms: Yours truly, Yours faithfully.
(iv) To teacher / Headmaster / Principal : Yours obediently, Yours faithfully.
Official Letters और Business Letters में Subscription Salutation के अनुसार होता हैं। इसे निम्नांकित तालिका द्वारा समझा जा सकता है-

Yours truly’ Official 3 Business Letters नहीं किया जाता है। इस प्रकार के Letters में प्राय: उपर्युक्त दो Subscription का ही उपयोग किया जाता है।
5. The Name of the Letter writer or Signature (हस्ताक्षर ) – यह भाग Subscription के नीचे होता है। इसके बाद कोई Punctuation Mark नहीं लगाया जाता है। Personal Letters में पत्र लेखक के केवल Signature ही पर्याप्त होते हैं, पूरा नाम लिखने की आवश्यकता नहीं होती है। जैसे-
Rajesh या Ramu ही लिखें।
Rajesh Kumar Agarawal न लिखें।
Official एवं Business Letters में Signature पत्र को वैधानिकता प्रदान करते हैं। Signature के अभाव में पत्र का कोई महत्त्व नहीं रह जाता है। हस्ताक्षर के नीचे पत्र लिखने वाले का नाम व पद भी अवश्य लिखा जाना चाहिए। जैसे—
Ravindra Kumar Sharma
Manager
अथवा
Ram Prakash Gupta
Sales Manager
6. The Address ( पता ) – Address या पता लिफाफे के ऊपर आधे भाग से नीचे दाईं ओर लिखा जाता है। लिफाफे के ऊपर का आधा भाग टिकट लगाने के लिए छोड़ दिया जाता है । पते की पंक्तियाँ लिफाफे के दाएँ कोने के समीप समाप्त होती हैं। पता तीन या चार पंक्तियों में लिखा जाता है। प्रथम पंक्ति में जिसको पत्र भेजा जा रहा है उसका नाम, दूसरी पंक्ति में गली या मुहल्ले का नाम और तीसरी पंक्ति में गाँव या शहर का नाम लिखा जाना चाहिए। Bracket में District या State का नाम भी लिखना चाहिए। पिन कोड लिखना भी न भूलें।

FORMAL LETTERS
II. BUSINESS LETTERS ( व्यावसायिक पत्र)
1. Business letters छोटे, प्रभावोत्पादक, स्पष्ट एवं to the point (विषयानुरूप) होने चाहिए। Business letter शैली में formal (औपचारिक) होते हैं। इनमें कुछ polite expressions का प्रयोग किया जाता है; जैसे—
“I shall be much obliged if you will send me”,
“Please despatch at your earliest convenience” etc.
2. जब किसी सामान के लिए order दिया जाता है तो सामान का वर्णन ठीक प्रकार से किया जाना चाहिए। सामान की संख्या या मात्रा सूचीबद्ध होनी चाहिए।
3. सामान मँगाने के लिए स्पष्ट निर्देश देने चाहिए कि वह by rail, by transport या by post आदि से भेजा जाए।
4. Mode of payment भी देना चाहिए; जैसे – by money order, V.P.P., Cheque ч bank f
5. पत्र जिस फर्म या व्यापारी को प्रेषित करना है उसका address बाई ओर Heading से नीचे आना चाहिए।

III. APPLICATIONS (आवेदन पत्र)
Applications (प्रार्थना-पत्र); जो किसी Job (नौकरी) के लिए लिखी जाती है उसके निम्नलिखित तीन भाग होते हैं-
